Permissions

Account Permissions Account Permissions refer to the authorization granted to manage a user's account within the BETA.

How to gain permission over a user’s account

You gain permission over a user’s account when

  1. Users sign waivers or other intake documents. This document serves as a record that the climber has given you and your staff permission to manage their account on their behalf, so make sure you include any locally-required statements in your waiver document.
  2. You create a user’s account directly in the Visitors tab.

The Traffic Light System

The traffic light system in BETA serves as a visual indicator of the status of visitor profiles.

A red profile with a ‣ symbol, signifies that this profile does not have a waiver at your facility. The visitor has either:

A grey profile with a ❗ symbol, signifies that this profile requires its waiver to be validated. Learn how to Validate a visitor’s form

A grey profile, signifies that this profile has a validated waiver, however they have no certifications attached to their profile. (eg no belay check, no lead check etc).

A blue profile, signifies that this profile has a validated waiver, and has climbing-related (e.g. belay check, lead check, etc. — notes, warning, etc. will not advance profile status.) certifications attached to their profile.

A dark profile is an profile who has not given your gym privileges over their details. In order to gain rights over their profile, you will have to get them to sign your waiver, or:

A dark profile may only be searched in the dashboard using their email, this is due to GPDR and privacy restrictions.

<aside> ⚠️ In order to gain access to a dark profile’s details:

  1. ask the visitor to sign your form
  2. Search for them with their email fully, where you can then Email a form to a profile (pre-filled form link)
  3. if they are using the BETAapp, Search for a BETA app profile, via QR code.
